Secure My Slot is an online booking platform that helps businesses manage appointments and allows customers to discover services and make bookings online.

We take the privacy and security of our users seriously. This Privacy Policy explains what information we collect, why we collect it, how it is used, how it is protected and the choices available to you.

This policy also explains specifically how Secure My Slot accesses, uses, stores, shares and deletes Google user data when a business chooses to connect a Google Calendar to Secure My Slot.

Information We Collect

Depending on how you use Secure My Slot, we may collect information that you provide directly to us or that is required to operate the platform. This may include:
  • Your name.
  • Email address.
  • Telephone number.
  • Account and login information.
  • Business information.
  • Booking and appointment information.
  • Service, availability and opening-hour information.
  • Information required to process or manage payments.
  • Technical and security information relating to your use of the platform.

How We Use Personal Information

We use personal information only where it is necessary to operate, provide, maintain and improve Secure My Slot and the services requested by our users. This may include using information to:

  • Process and manage bookings.
  • Display appointment availability.
  • Send booking confirmations, reminders and service-related communications.

Google Calendar Integration

Secure My Slot allows business users to connect their Google Calendar to help manage appointment availability and reduce the risk of double bookings. Connecting a Google Account is optional. Secure My Slot will only request access to Google user data that is necessary to provide the calendar synchronisation functionality selected by the user. Access to Google user data is only granted after the user explicitly authorises Secure My Slot through Google's OAuth consent process.

Google User Data We Access

When you connect Google Calendar to Secure My Slot, we may access Google Calendar information that you have authorised us to access through Google's OAuth service. Depending on the permissions granted, this may include:
  • Information about calendars associated with your Google Account, such as calendar identifiers, names and calendar details.
  • Calendar availability information.
  • Appointment or event timing information, such as start and end times, where access to this information has been authorised.
  • Information required to identify periods when you are unavailable for bookings.
Secure My Slot does not request or access your Google Account password.

How We Use Google User Data

Google user data accessed by Secure My Slot is used solely to provide and improve the Google Calendar synchronisation features requested by the user. Google Calendar information is used to:
  • Identify times when a connected business is already unavailable.
  • Prevent customers from booking Secure My Slot appointments during unavailable periods.
  • Synchronise relevant calendar availability with the business's Secure My Slot booking availability.
  • Maintain and improve the user-facing calendar synchronisation functionality.
Google user data is not used for advertising, personalised advertising, retargeting, determining creditworthiness, lending purposes, data brokerage or any purpose unrelated to providing or improving Secure My Slot's user-facing functionality. Google Workspace API data is not used to develop, improve or train generalised or non-personalised artificial intelligence or machine learning models.

Sharing and Disclosure of Google User Data

Secure My Slot does not sell Google user data. We do not transfer, disclose or share Google user data with third parties for advertising, marketing, data brokerage or other unrelated purposes. Google user data may only be processed by service providers where this is necessary to operate, secure or provide the Secure My Slot functionality requested by the user. Where service providers process data on our behalf, they are only permitted to process that information for the services they provide to Secure My Slot and must protect it appropriately. We may also disclose information where we are legally required to do so, such as in response to a lawful court order or other binding legal obligation. We do not permit third parties to use Google user data for their own independent purposes.

Google API Services User Data Policy

Secure My Slot's use and transfer to any other application of information received from Google APIs will adhere to the Google API Services User Data Policy, including its Limited Use requirements. Google user data is only accessed, used and processed for functionality that is visible and relevant to the user who connected their Google Account.

Storage of Google User Data

Secure My Slot only stores Google user data where it is necessary to provide calendar synchronisation and booking availability functionality. Where calendar information is stored, we aim to minimise the amount of Google user data retained. Secure My Slot primarily requires calendar availability and timing information necessary to determine when bookings should or should not be available. OAuth access credentials required to maintain the authorised Google Calendar connection may also be securely stored while the integration remains connected.

Data Security

We use appropriate technical and organisational safeguards designed to protect personal information and Google user data against unauthorised access, disclosure, alteration or loss. Our safeguards include measures such as:
  • Encrypted HTTPS connections when information is transmitted between users and Secure My Slot.
  • Access controls designed to restrict access to personal information.
  • Secure authentication procedures.
  • Controlled access to production systems and stored data.
  • Security procedures intended to protect the confidentiality and integrity of sensitive information.
Access tokens, refresh tokens and other credentials associated with connected services are treated as sensitive information and access to them is restricted to the systems and processes that require them to provide the relevant functionality.

Data Retention

We retain personal information only for as long as reasonably necessary to provide Secure My Slot, fulfil the purposes described in this Privacy Policy and meet applicable legal, accounting, security or regulatory requirements. Google user data is retained only for as long as necessary to provide the connected Google Calendar functionality. When Google Calendar information is no longer required for the purpose for which it was collected, it will be deleted or securely removed in accordance with our data retention procedures.

Disconnecting Google Calendar and Deleting Google User Data

Businesses can disconnect their Google Calendar from Secure My Slot. Once the connection is removed, Secure My Slot will no longer use the connection to access new Google Calendar data. Data and authentication credentials associated with the Google Calendar connection that are no longer required will be deleted or securely removed, subject to any information that we are legally required to retain. Users may also revoke Secure My Slot's access to their Google Account through their Google Account permissions. Account and Personal Data Deletion

Users may request deletion of their Secure My Slot account and associated personal information by contacting us. Following a valid deletion request, personal information that is no longer required will be deleted or anonymised, subject to any legal or regulatory retention requirements that apply. Payment Information

Where payments are available through Secure My Slot, payment transactions may be processed by third-party payment providers. Payment providers may collect and process information required to complete transactions in accordance with their own privacy policies and legal obligations. Google Calendar data is not shared with payment providers for payment processing.

Service Providers

We may use trusted service providers to help host, maintain, secure and operate Secure My Slot. These providers may only process personal information where necessary to provide services to Secure My Slot and must handle information in accordance with applicable data protection requirements and their contractual obligations. We do not permit service providers to sell Google user data or use Google user data for advertising or unrelated purposes.

Your Data Protection Rights

Depending on the circumstances and applicable data protection law, you may have rights relating to your personal information. These may include the right to:
  • Request access to personal information we hold about you.
  • Request correction of inaccurate information.
  • Request deletion of your personal information.
  • Request restriction of certain processing.

We may update this Privacy Policy when our services, legal requirements or data handling practices change. Where changes materially affect how we access, use, store or share Google user data, we will update this policy accordingly.
